1. Who we are
ChargeHosting is responsible (the "controller") for the personal data described in this policy.
- Chamber of Commerce (KvK): 97149128
- Address: Duinmeer 62, Houten, the Netherlands
- Email: [email protected]
2. What we collect
- Account details. Your name, email address and, if you provide them, your billing address and phone number. If you sign in with Discord, Google or GitHub, we receive your name and email address from that service.
- Billing details. Your orders, invoices and payment status. Payments are handled by Stripe and PayPal; we never see or store your full card details.
- Technical data. Your IP address, browser and device information, and server logs, collected when you visit our website or use our services.
- Support conversations. Whatever you send us in tickets, emails or on Discord.
- Data on your servers. The files and data you store on your game server, VPS or other service. We only process this to provide the service to you.
3. How and why we use it
We use your data for these purposes, each with its own legal basis under the GDPR:
- Creating your account and delivering your services: necessary to perform our contract with you.
- Processing payments and sending invoices: necessary for the contract, and required by law (tax and accounting rules).
- Answering your support questions: necessary for the contract.
- Preventing abuse and fraud, and keeping our network secure: our legitimate interest in a safe and reliable service.
- Sending important service messages (such as invoices, maintenance or security notices): necessary for the contract.
- Signing in with Discord, Google or GitHub: your consent, which you give by choosing that option.
5. Transfers outside the EU
Some of the providers above (such as Stripe, PayPal, Cloudflare, Discord and Google) are based in the United States. When your data is transferred outside the European Economic Area, this is covered by appropriate safeguards, such as the EU–US Data Privacy Framework or the European Commission's standard contractual clauses.
6. How long we keep it
- Account details: for as long as your account exists. You can ask us to delete your account at any time.
- Invoices and payment records: 7 years, because Dutch tax law requires it.
- Data on your servers: until your service ends. When a service is terminated, for example 7 days after an unpaid due date, it is deleted from our servers.
- Backups: rotated automatically and removed after at most about 6 months.
- Server logs: about 14 days.
- Support conversations: as long as needed to help you, and as long as your account exists.
7. How we protect it
We use technical and organisational measures to protect your data against loss and unauthorised access, including encrypted connections (HTTPS), encrypted backups, firewalls and strict access controls on our systems.
8. Your rights
Under the GDPR you have the right to:
- see which personal data we hold about you;
- have incorrect or incomplete data corrected;
- have your data deleted ("right to be forgotten"), unless the law requires us to keep it;
- restrict or object to how we use your data;
- receive your data in a portable format;
- withdraw your consent at any time, where we rely on it.
To use any of these rights, email us or open a ticket. We respond within one month.
10. Changes to this policy
We may update this policy when our services or the law change. The date at the top of this page always shows the latest version.
